To be successful and develop a good routine, you don’t get past good time management strategies. It is recommended to be very organized so that you have all the tasks in sight and can also perform them more easily. Those who do not remember their tasks themselves will eventually forget them. That is why, in this article, I offer you a comprehensive guide to using Time Management Strategies that will guarantee your work leads towards triumph.
Manage your goals
If you do not have any goals, first read this simply advice on finding your purpose.
You can’t set tasks if you don’t have goals. Therefore, reflect on your life goals and when you want to fulfill them. To achieve your goals, consider what tasks you need to do for the completion of them. It’s best if you do a short brainstorm on a piece of paper. Write each of your major goals on a single sheet of paper, e.g., on one sheet you write your fitness goals, on the other your professional goals, and on another sheet you write your relationship goals. Now write down everything, that comes to your mind about these topics, so you can find out exactly what you must do to achieve your goals. For example, what actions are necessary to meet your fitness needs, what exercises, which diets, fasting, diet changes, etc. you need to perform for your end goal? If you are not sure, don’t be afraid to start a short search. You need to know exactly what you need to do.
After this, write all your tasks unsorted on a sheet of paper without considering when and how you need to do them. You can also write down everything you think of, from small to large tasks. Only when you’re done with this can you move on to the next step. First, check if you’ve taken everything into account. You need to write down all tasks for your goals, but also other tasks. Prepare your tasks
Now you are ready for the next step. Take your list of tasks again, but this time you have to sort them. One system to sort tasks is called the Eisenhower principle, in which you sort the tasks into four categories. The first is important and urgent tasks; the second is important and imminent; the third is unimportant and immense tasks; and the fourth is insignificant and inexhaustible tasks. So for each of your tasks, consider how important they are to your goals and how urgently you need to accomplish them. This allows you to easily sort the tasks into four categories. The fourth group consists of insignificant and inexhaustible tasks, so you should remove all these tasks. They’re not essential, and you’ll never have to do them.
After you have sorted all the tasks, you probably still have a lot of tasks to do. First, take your habits out, because they are usually short enough to do them daily. Of course, it is also worth checking whether they are necessary at all. Then you can prioritize them again in the first two categories of tasks. Of course, you are also talking about urgency and importance. If you have to finish a task in the next week, it will most likely be at the top. But if you have less urgent tasks, but only significant ones, you should prioritize them instead. With the right tools, you should now be able to estimate how much time you need for each task.
The right Time Management tools
These tasks are then entered into a calendar. It is up to you whether you prefer to manage them digitally or on paper. All that matters is that you can plan when to do what tasks. However, if you notice that one method does not work well, you should try a new one. I manage my tasks digitally, so today I will introduce my methods to you. Foremost, you should distinguish between a to-do list and a calendar; I recommend using both. There are many task schedulers you can use; I use the HabitNow app. This allows me to schedule my habits and tasks in a list and automatically sort them by priority. Of course, you can also set reminders so that your phone keeps you informed daily. This way, you always stay on top of it and remember your tasks until they become a habit. However, you can also find another tracker for your daily tasks. HabitNow is only available in the Play Store.
While the task planner only organizes the list, it is also important to organize when exactly you want to do what tasks. To do this, first use the Google Calendar, where you can simply enter all your tasks. Here, only enter weekly fixed events and dates, not loose tasks. For the latter, I use a program that can be easily synchronized with the Google Calendar. This is called “reclaim” and lets you manage all your tasks for free. On Reclaim, you can plan in three ways: on the one hand, you can schedule your tasks, and on the other, you can also plan your habits. In addition, Reclaim offers a function to easily manage and record meetings, which also works with a booking system. This allows you to plan your daily life much faster and more efficiently. How Reclaim Works
You can simply add tasks to Reclaim. For this, you can set several things: the time you need, the amount of time you want to spend on them, and the period in which you want them to be performed. Then you can give the task a name, a smiley as a symbol, and a priority. You do this for every task you have, and Reclaim will transfer it to your calendar. As a result, you will never have to enter individual tasks in your calendar again, but your Reclaim AI Assistant will do this for you. These tasks will now appear on your calendar, and you can either edit them further, shrink them, etc., or you can start working right away. Reclaim will consider the assigned tasks as completed if you do not delete them and therefore calculate the time. This means that the program counts exactly the time you have already spent on your tasks.
To optimize the program, it is worth making some adjustments. Reclaim differentiates between working time and leisure time, so you must specify these times in the program. In addition, I recommend setting breaks; if you do this, Reclaim will schedule breaks between your tasks. The advantage of reclaiming is that you save a lot of time and have to organize less. To support this, in addition, it is worth using a smartwatch; it can notify you of the events accordingly. Now you should get the habit of managing your tasks in the morning and rescheduling if necessary. This way, you will remember these tasks every morning and perform them much more often.
